Depending on the size, the complexity of business processes of a company, the degree of maturation with ERP system, an ERP project should have different objectives, and should be covering different functions, at different degrees.

Before starting with a project, it is therefore very important to identify the functional scope that the project should cover.

One the main error made during the implementation of an ERP solution is to under-estimate this scoping phase.

Before going on buying an ERP solution one should really ask, what scope should this system cover?

By looking deep at the scope of the future solution, we will be able to see what processes are eligible and enough enhanced and mature to be able to be supported by an ERP system. The ERP processes should be able to be implemented without big changes of the business processes as well as the human resources way of working. I will say that the changes needed to be done on the business processes should be based on a good BPR that will allow the processes to be more efficient and to match industry best practice, even before we implement the ERP.

It is also very important not to develop specific functionalities around the ERP. If we choose an ERP it is mainly because we made a “Buy against Make” choice, so better to stick as far as possible to this simple concept.

 

The first move should be then to identify what processes can be moved toward more efficiency by getting closer to or even matching best practices.

In that way, good ERP system, like SAP, can help an enterprise to compare their business processes with the best practices that are the basis of the standard functionalities of the ERP. Doing this work will enable an enterprise to evaluate what will be the effort needed to reach the level efficiency of a business process best practice. The effort must be seen taking into account all the factors that constitute a business process. So we should also look at the change management aspect of the process change.

So a step by step implementation is one of the key to move a company toward efficient business processes and therefore more efficient organization. It is important not to try to get the all package if the business processes and people are not ready to use it properly.

That is why a good scoping before going to an implementation is one of the key of the success of the implementation of an ERP system.

The scoping must be coupled with a good strategy based on how we can go from where we are to an organization completely based on best practices. Reaching the best will allow you to go beyond the best.

An ERP project is not only the implementation of an IT tool; this is part of a bigger strategy that should lead a company to the best of its market. Best because of its processes, tools, methods and people.

Several things have to be taken into account before implementing an ERP system in Vietnam. In this article I will try to identify and list what I think are the specificities of Vietnam when it comes to implementing an ERP.

You are all very well welcomed to add anything I might have forgotten and to discuss the points I listed.

 

1-      Vietnamese language

It is important that the ERP system is capable of managing Vietnamese language.

Most of the legal reports need to be addressed in Vietnamese language to the authorities.

Most of the workers in Production are not that fluent in English, so the internal document used for production (task list, master recipe, list of components, etc.) need to be in Vietnamese.

In general an ERP system will always be better accepted if it is managed in local language.

 

2-      VAS – Vietnamese Accounting Standard

As a golden rule, the ERP must be able to manage the VAS principles, that are based on IAS but contain some differences with it.

 

3 – Purchase order approval workflow

The procedure of approval of purchase order can be quite long and paper-based signature workflow.

As a matter of enhancing business processes, the ERP must be able to transform this paper flow into an electronic based signature flow.

 

4 – Multi-currency system

As the market is getting more and more global, and as Vietnamese companies tend to be exporting in other countries, it seems evident that the ERP must be able to support multi-currencies transactions.

This is also important for multinational companies that have affiliates in Vietnam.

 

5 – Vietnamese Dong length

Many times, when implementing ERP system in Vietnam this question was raised. So you have to make sure that the fields containing amount are long enough to support this specificity of Vietnam.

 

6 – Human Resources

In Vietnam the number of employees is usually high, especially in manufacturing companies. Thus, you will need to get an ERP that can manage payroll based legal requirements

You also need an ERP that can help manage the employees’ attendance on-site.

The ERP must have  HR payroll functions developed specifically for Vietnam.

Hello to all of you who visit this blog.

During my different experiences gained in implementing ERP systems worldwide, I came to the conclusion that there is a need of implementing ERP systems in developing countries. Why?

 

Most of these countries are now experiencing a close to double-digit growth rate of their economy.

Local companies in these countries are developing fast and as they grow they will need more and more IT systems that will help them control this growth and built up an organization that will enable them to grow more.

As an organization get more and more complex, the need to control the production processes, the sales and marketing, distribution and control of their costs is getting more and more important.

 

During the different ERP implementations I participated to, I have been working in Europe, Latin America, Africa and Asia. Today I really believe that Asia, and most especially south East Asia is already on demand of ERP systems that will help them achieve their economic goals.

 

So why this blog? Different reasons make me create this blog. First, I have a great interest in Vietnam, since I worked there, and I believe that companies and people of this country are really interested and highly motivated to develop their country, lower the poverty rate, and reach an international status of a country that succeed. This I could see when talking and working to the people here.

So I want this blog to present the actuality and the development of ERP systems in Vietnam. I also want this blog to give to the young generation an interest to ERP systems as a tool to sustain the development of the Vietnamese company, and maybe to give them the will of starting a career as ERP consultant.
